MyCalyx is a portal used by Calyx customers to download the current version of Point and PointCentral and to manage Point users. Organizations can add & delete users at any time.
The MyCalyx Home page is displayed after you log in to MyCalyx and, depending on your account status, contains options for managing users, and downloading the server software for PointCentral.
The top of the page contains links to access more information about MyCalyx, update your profile, and log out of MyCalyx.
The Manage Users button is displayed for users who are assigned the Administrator role. Manage Users is used to add users, assign user roles, and deploy Point to end users.
The Download Server Software button is displayed for PointCentral accounts only.
To change your MyCalyx password:
Requirements: Your MyCalyx password must contain a minimum of six characters, at least one uppercase or lowercase letter, and at least one number. In addition to alphabetic and numeric characters, the following characters are allowed: comma, apostrophe, period, hyphen, !, @, #, $, %, ^, &, *, (, ), |, ?, /, ~.

The following roles are used in MyCalyx:
Administrator - Users who are assigned the Administrator role have access rights to manage user roles and assign and deploy Point seats to end users. The Initial MyCalyx Administrator is assigned when Calyx creates the customer account. Any Administrator is authorized to add additional Administrators as needed for the account.
Purchaser - The Purchaser is the MyCalyx user who is authorized to make purchases in MyCalyx.
Attention: The purchasing process is not implemented in MyCalyx for this release. Therefore, the Purchaser role option is not enabled on the Manage Users screen at this time.
End User - The End User role is assigned to Point users. After the End User is added to the account, an e-mail that contains a link to initiate the Point installation is automatically generated and sent.
Important: You can assign an infinite number of end user roles, regardless of whether you have enough seats. The users who activate the Point installation before all of the seats are used, have a successful installation. Users who attempt to activate the Point installation after all seats are installed, receive a message to contact the MyCalyx Administrator.

ADMINISTRATION FUNCTIONS |
Managing MyCalyx and Point users is done on the Manage Users page. Only an Administrator is authorized to access this page.
The following functions are performed on the Manage Users page:
The top of the Manage Users page contains a summary of users, the number of seats installed, the number of seats on the account, the status of each seat, and a legend that explains the seat status codes. The bottom of the page contains the number of users, page navigation controls, a dropdown list to specify the number of records to display on a page at a time, and buttons to use to apply roles and installation settings, re-send the installation e-mail when the link has expired, apply the Point version, and delete users. These buttons apply the action to the records with the check mark that precedes the record selected.
Each record contains the user nickname, username (e-mail address), check boxes that are used to assign roles, seat status, last activity date, installation group, and the version that is licensed by your organization.
By default, the records on the Manage Users page are sorted by the Last Activity column in descending order. To change the sort order of the table, click the column heading. Above the column headings is a field to specify filter criteria for displaying user records.
The seat status, indicated by a colored icon, shows the seat status of users assigned the End User role.
The icons represent the following status:
| Color | Status | |
| Red | ![]() |
An installation problem has occurred. |
| Orange | ![]() |
The e-mail was sent, but the link to initiate the installation was not clicked. |
| Yellow | ![]() |
The seat was assigned and the installation link was clicked. The installation is in progress. |
| Green | ![]() |
The seat is active and Point is installed and operational. |
| White | ![]() |
A seat is not assigned. |
Seats with a status of Active (green), In progress (yellow), and Problem (red) are considered installed seats and are included in the Seats Installed total.
The following buttons on the Manage Users page provide additional functionality:
Getting Started - Click the Getting Started button for additional information about using the Manage Users page.
Installation Settings - Click the Installation Settings button to access the Installation Settings page. Use the Installation Settings page to create installation groups. Installation groups contain preset installation parameters and are assigned to users when they are created and are implemented when the end user installs Point. When the Administrator upgrades the Point version for an end user, the end user installation is completed per the settings in their assigned installation group.
Using installation settings is optional. The default Point installation in a non-server environment creates the default template and data folders and includes Point Administrator.
Import Users - The Import Users button imports a list of users from an existing comma-separated value file.
Add a User - The Add a User button adds an empty row to the list, which is used to add a new user.
Export Users - The Export Users button exports all data for each user to a Microsoft Excel® document.
Refresh - Use the Refresh button to refresh the screen after changes and updates are made.
The following buttons below the user list, apply actions to the selected records (those with the check box selected that precedes the record):
Apply End User Role - Use the Apply End User Role button to assign each selected user the End User role.

Apply Installation Settings - Use the Apply Installation Settings button to apply an installation group to the selected users. Select the installation group from the dropdown list, then click the button.
Apply Version - Use the Apply Version button to apply the specified Point version to the selected users. Select the version from the dropdown list, then click the button.
Purchaser - Use the Apply End User Role button to assign each selected user the End User role.

Note: You can enter a nickname up to 50 characters long. If the nickname exceeds the visible width of the field, scroll to the right to view the entire name.
Note: For details about the Point installation process, refer to the Point User Guide.
Important: The link expires 120 hours after the e-mail is generated. If the End User does not install Point within the 120-hour period, they must contact their MyCalyx administrator to have them re-send the e-mail.
Attention: If the save is not successful, an error message is displayed and a red asterisk is placed next to the field that contains the error.
Important: If all of your Point seats are assigned, you are unable to assign additional seats unless you remove a seat from another user. However, you can assign an infinite number of end user roles, regardless of whether you have enough seats. The users who activate the Point installation before all of the seats are used have a successful installation. Users who attempt to activate the Point installation after all seats are installed, receive a message to contact their MyCalyx Administrator.
Only an Administrator can add users and additional Administrators to MyCalyx. The Initial MyCalyx Administrator is created when Calyx creates the customer account. It is not possible to delete the Initial Administrator. The Initial Administrator is indicated in gray type on the Manage Users page.
Attention: To change the Initial Administrator for your account, contact Calyx Support at 800-342-2599.
To add an Administrator to MyCalyx:
Note: You can enter a nickname up to 50 characters long. If the nickname exceeds the visible width of the field, you can scroll to view the entire name.
Important: The link expires 120 hours after the e-mail is generated. If the Administrator does not register within the 120-hour period, they must contact their MyCalyx administrator to have them re-send the e-mail.
Attention: If the save is not successful, an error message is displayed and a red asterisk is placed next to the field that contains the error.
When a user is assigned the role of Administrator, they will receive an e-mail notification that contains a link to register in MyCalyx.
To register as an Administrator:
Important: The link expires 120 hours after the e-mail is generated. If the Administrator does not register in MyCalyx within the 120-hour period, the administrator who created the must resend the e-mail.
You can import a list of users from a comma-separated value file (.csv) into MyCalyx.
Requirement: The file that contains the users to import must be in .csv format for the import to be successful.
To import users into MyCalyx:
Create a comma-separated value file to import a large number of users into MyCalyx.
To create a comma-separated value file:

Use the export function to export the list of MyCalyx users and their settings to a Microsoft Excel® file.
All data for each record is exported to an Excel file. An example is shown in the following figure:

To modify user properties:
Tip: Use the filter to view users with specific properties if your organization has a large number of users.
Important: If more than one Administrator is editing the same record at the same time, the changes are retained in the sequence that they are saved. Therefore, changes made to the same information could be lost if another Administrator is editing the same information.
USER ROLES |
To add or change a user role:
Attention: The purchasing process is not implemented in MyCalyx for this release. Therefore, the Purchaser role option is not enabled on the Manage Users screen at this time.
Note: For details about setting up the PointCentral server, refer to the PointCentral User Guide.
To rescind an end user role from a user and make the seat available to another user:
Tip: The Seats Installed on the Manager Users Summary page is updated to reflect the reduced number of seats.
The Seats Installed on the Manager Users Summary page is updated to reflect the reduced number of seats.
To delete a user from MyCalyx:
Note: If the deleted user is assigned an End User role, the Point installation is removed from their computer and they are no longer able to use Point.
Use the filter function to find specific records when you have a large number of users. In a smaller organization, you can sort the list by clicking the column header to manually search for a record.
To use the filter function to locate a record or group of records:
Tip: Filtering records is useful to locate user records in an organization with a large number of users.
Example:
To search for a specific user, for example, Joe Johnson:
1. Enter Joe Johnson in the Filter field.
2. Click Search.
3. To filter the list by a specific Joe Johnson, enter his e-mail address (his MyCalyx username)
in the Filter field.
4. Click Search.
Tip: To locate a specific user who has a common name, perform the initial search on the user’s e-mail address or other user-specific identifying information, if known, in the first search. The results will return only the record you are seeking.
Use the Installation Settings page to create installation groups that contain preset installation parameters. When an End User installation is performed and they are assigned an installation setting, whether it is for a new seat or a software upgrade, the installation is completed per the settings in their assigned installation group. If the user is not assigned an installation setting, the default Point installation is used.
Note: Using installation settings is optional. The default Point installation in a non-server environment creates the default template and data folders and includes Point Administrator.
To create an installation group:
Note: If your site runs PointCentral, the template directory and data folder paths and their user access rights are specified in the PointCentral settings. Therefore, it is unnecessary to complete these fields.
Restriction: The maximum number of data folder paths allowed is 10,000.
To delete a data folder path from the list, select the path and click the minus (-) button.
To move a data folder path up or down in the list, use the up and down arrow buttons. The sequence of the data folders in this list determines the sequence of the folders in the data folder dropdown lists in Point.
Tip: You can select multiple folder paths by holding the control key when you select each folder and delete them or move them up or down.
Note: When the account has many users at the same location, it is more efficient to download a new version to a single cache location. As each user updates, MyCalyx will deliver the new version more rapidly, with less intranet traffic if it is local.
Important:
When a user's installation link expires before they install Point, the MyCalyx Administrator must instruct MyCalyx to resend the e-mail that contains the link.
To resend the installation e-mail:
Contact Calyx Sales to add more seats to your account. To contact Calyx Sales, click the Order link in the header of this page.
When an end user is assigned a Point seat, they will receive an e-mail notification that contains a link and instructions for installing Point. When the user clicks the link in their e-mail, the Point installation is launched and begins immediately.
Important: The link expires 120 hours after the e-mail is generated. If Point is not installed within the 120 hour period, the MyCalyx administrator must resend the e-mail.
The installation is completed per the settings in the installation group that is assigned to the end user. If an installation group is not specified, Point Administrator is installed and the default template and data folders are created.
Note: For details about the Point installation process, refer to the Point User Guide.
